ABOUT THIS DOCUMENT

What a passport translation should - and should not - change

A passport is a standardized travel document, but a translation may still be needed when biographical fields, observations, endorsements, stamps, or visas are not in English. The goal is to let the receiving party read the relevant information without changing the passport's underlying identity data.

Names and place names deserve particular attention because the passport may already contain a Latin-script spelling or machine-readable version that differs from another document. Translators should avoid creating a new transliteration when an official spelling is already shown on the passport.

A useful translation clearly distinguishes printed fields from visas, entry stamps, handwritten notes, and endorsements. Passport numbers, dates, issuing authorities, nationality, and existing transliterations should be copied exactly as appropriate rather than reformatted for convenience.

Do not normalize these details

Passport number, official Latin-script name, nationality, place of birth, issue/expiration dates, endorsements, visas, and entry or exit stamps.

Typical U.S. contexts

Immigration, legal filings, identity verification, banking or compliance checks, academic applications, and transactions involving a foreign passport.

FAQ

Frequently Asked Questions

Who decides whether a translation of Passport must be certified?

Passport translations are often certified when non-English biographical fields, visas, endorsements, or stamps are being submitted in an immigration, legal, banking, or academic file. If the passport is being translated only for reference, the recipient may not require certification.

If my passport already shows my name in Latin characters, will it be transliterated again?

Normally the existing official Latin-script spelling should be preserved. Creating a new transliteration can introduce inconsistencies with immigration, banking, academic, or identity records that already rely on the passport spelling.

Do visa pages, entry stamps, or endorsements in a passport need separate treatment?

Yes when they are part of the requested scope. The translation should distinguish biographical data from visas, border stamps, observations, and endorsements so the reader can tell which authority added each item.
